1. Who is the data controller?

Vergence AS is the data controller for personal data processed through this tool.

3. Who can see your data?

You can view and edit your own profile. Administrators (CEO/management) can view all employee profiles and edit certain fields. Vergence Group staff with admin access to our infrastructure providers (Supabase and Vercel) may access data as part of operating the service. No data is shared with third parties for marketing or sold to anyone.

4. Our processors

We use the following sub-processors under signed Data Processing Agreements:
  • Supabase — database and authentication hosting
  • Vercel — application hosting and anonymous performance monitoring
  • Google LLC — identity verification via Google Workspace OAuth (processes your email address and account identity at login)
Documents linked to external services (e.g. Google Drive, SharePoint) are hosted by those services independently. Vergence is not the controller for externally hosted content.

5. How long we keep your data

Your data is retained for as long as you are employed at Vergence Group. When your employment ends, offboarding happens in two stages:
  • Immediately — your access to the dashboard is revoked as soon as you are marked as having left the organisation. You will no longer be able to log in or call any part of the service.
  • Within 90 days — all of your personal data is permanently and automatically deleted from our systems, unless a longer retention period is required by applicable law.

6. Your rights under GDPR

You have the right to:

7. Automated decision-making

No automated decisions with legal or significant effects are made solely based on data in this tool. Scores and signals are used as inputs to human-led 1:1 conversations only.

8. Changes to this notice

If we make material changes to how we process your data, we will notify you directly.
